Sarbacane Sunrise (former version): sharing campaigns, lists, templates and forms

Resource sharing (campaign, list, form, landing page) is managed through the resource's properties, in the "Who can access this campaign?" section.

NB: the section heading varies according to the type of resource concerned: if it's a contact list, the section will be called "Who can access this list?" and so on.

When a resource is created, the "Properties" window is displayed. The "Properties" window can be reopened from the contextual menu associated with each resource.

Depending on whether your role is "User", "Administrator" or "Owner", and according to the rights you have been assigned, you will be able to configure (or not) the sharing of a resource, whether you are the creator or not.

Users

By default, a user has access to all the resources (campaigns, lists, templates, forms, etc.) of the group to which he/she belongs.

When a user creates a new resource, he shares it with all users in the group to which he belongs. They cannot restrict access to their resource to another user in the same group as their own. They cannot modify the "Who has access to this campaign?" section, as they do not see it.

A user can, however, share his campaign with a group other than his own if (and only if) the "Share with other groups" right has been granted to him by the account administrator. This right can be assigned via the "Manage rights" menu on the user's profile.

Administrators

Administrators (and the account owner) have access to all items created by all users, regardless of the group to which they belong.

When an administrator (or account owner) creates a resource, he or she has the option of unchecking sharing with one or more users, or one or more user groups.

This sharing management is carried out in the properties window of the resource in question, in the "Who can access this [resource]?" section.

There is an important difference between sharing a resource with a group and sharing a resource with several users in a group.

  • Sharing with a group: when an administrator chooses to share his resource with a group of users (group box checked) not only will all current users in the group have access to this resource, but also future users who are added to this group.

    In the example below, the administrator chooses to share his campaign with the "Marketing team" group. All users in this group will therefore have access to this campaign, as will future users added to the "Marketing team" group. It is not possible to uncheck one or more users in the group, as the entire group is selected.
  • Sharing with a selection of users: an administrator can choose not to share a resource with a group (group box unchecked), but only with a selection of users in that group. In this case, only users selected in the group(s) of the administrator's choice will have access to the resource. Any new members of a group will not have access to the resource, as the group will have been unchecked in favor of a selection of users from that group.

    In the case below, only "User 1" will have access to the campaign. If new users join the "Marketing Team" group, they will not have access to the campaign. The administrator can, however, give them access by returning to the campaign's "Properties" window and selecting them manually.

In short, sharing a resource with a group offers greater flexibility, as all group users (current and future) have access to this resource. Sharing a resource with a selection of users, on the other hand, offers greater control over access to that resource.

It's up to the administrator to decide which sharing method best suits his or her needs, which may differ for each of the resources in his or her account.
