Sarbacane Contacts: how to manage and analyze a contact list?
This help center is dedicated to the new version of our software: Sarbacane Suite. If you are a user of the previous version, Sarbacane Sunrise, you can find here the help center related to this version of the software. The update of your account to switch to Sarbacane Suite will be proposed to you shortly by our teams.
Once you have imported your contacts into a list, you can perform a number of actions allowing complete control over your database:
- Search for a contact
- Add contacts
- Analyze contacts
- Selection
- Export the list
- Duplicate the list
- Manage columns
- Statistics - Distribution by domain
- Empty the list
- Sort your data
- Create a new campaign
- Create a form
- Create new targeting
Search for a contact
- The search bar allows you to search for data across all columns of your recipient list.
This way, you can check if a contact is present in the list by entering their name or email address, for example. It's up to you to keep this contact or delete them from the recipient list.
Add contacts
- You have the option to add contacts to an existing list, or replace your entire current contact list with a new one. To learn more about this, click here.
Analyze contacts
- This function allows you to clean your database.
A window offering the analysis of your emails automatically opens with each import, but you can launch it at any time. By clicking on this option, you have the possibility to check the boxes of your choice to perform the analyses you find interesting.
The analysis screen has 2 tabs: the analysis of email addresses, and the analysis of mobile phone numbers.
In the "Email Addresses" tab, you can check the following boxes:
Detect duplicates and discard them: Sarbacane automatically detects duplicate or triplicate email addresses and keeps only one to avoid sending the same message several times to the same contact.
Identify incorrect syntaxes: Sarbacane corrects erroneous email addresses (e.g., an address @gmial.com will automatically be corrected to @gmail.com), which can happen when your contacts make a mistake or typo when signing up to your list.
Test domain existence: Sarbacane verifies that the domain name actually exists to avoid wasting credits for nothing.
Correct recognized errors: Sarbacane is able to automatically suggest corrections for your email addresses. These will be offered to you in the "incorrect" tab once the analysis of your list is complete. You will then have the option to include the corrected email address in your contact list, or to include the original email address.
In the "Mobile Phone Numbers" tab, you can check the following boxes:
Detect duplicates and discard them: as with emails, Sarbacane checks for you that you have not imported numbers several times in order to keep only one.
Identify incorrect syntaxes: verifies that the number formats are correct and correspond to the country code used. If Sarbacane detects an error on a number, it is automatically excluded from your recipient list.
Correct recognized errors: just like for emails, Sarbacane is able to automatically suggest corrections for your mobile numbers.
Country Code: you can also choose the country code that will be used by default for all numbers that do not have one.
Even if you do not check all the boxes or perform an analysis, Sarbacane will always analyze duplicates, NLLIA (Non-Postal Addresses Identified), and exclude emails listed in your unsubscribe list.
After analysis, you can view the contacts that have been excluded from your recipient list in the "Excluded" tab located above the list. You have the option to manually re-include a contact by clicking on the arrow.
Selection
- This tool allows you to establish a selection of contacts before performing an action on these contacts. By unfolding this menu, you have several options:
Select all: selects all recipients in order to perform a grouped action on the entire list (export, delete, etc.).
Deselect all: deselects the previously selected recipients.
Invert selection: deselects the selected recipients to instead choose all contacts that were not initially selected.
Delete selection: deletes the selected recipients from your list.
Export the list
- If you have imported a file/database and have made modifications in Sarbacane, you can retrieve your updated list using this function.
Duplicate the list
- This function allows you to create a copy of your recipient list.
Manage columns
- This button allows you to add columns to your list and manage or modify existing columns (change their name, type, or delete them).
If some information in your list is not useful for your emailing, you can disable unnecessary columns.
If you are about to import a new file to complete your current list, and it includes additional columns, you can prepare the import by adding the new columns to the structure of your current list in advance.
Empty the list
- This option allows you to delete all contacts included in your list.
Be aware, this operation is irreversible.
Statistics - Distribution by domain
- This option shows you the distribution of domain names of the contacts in your list. Sarbacane concatenates identical domain names and indicates the number and percentage they represent in your list.
This information can be useful - in the case of an email campaign - to test its display on one or more messaging services (the most represented in your list) before sending it.
Sort recipients
You can sort the order of appearance of your recipients as you wish. For this, choose the variable according to which you wish to sort your contacts.
- Click on the arrow next to the title of the concerned column.
Sorting will be done in ascending order, then in descending order (if it is numerical data) or in alphabetical order and its reverse (if it is textual data).
Create a new campaign from a list
- Once you have made all the adjustments and verifications deemed necessary on your contact list, you can create an email campaign, SMS campaign, or automatic campaign directly from your list with Campaigns by clicking on the "Create a campaign" button.
Create a form
- This functionality allows you to create a form in Forms that will enable the update of contacts from this list or the creation of new ones.
Create targeting from a list
- You can also create new targeting to communicate to a segment of your list.
Indeed, if your list contains several types of recipients, you are not obliged to create as many lists as there are types of recipients. You can have a single list, and create as many targetings as you have types of recipients by creating targetings.
For example, if your list is a customer list and your customers come from France and Spain, you can create a single "Customers" list, and segment your list by isolating your French and Spanish customers, in order to adapt your communication to each of these types of customers without having to create multiple customer lists.
To do this, create as many targetings as you wish by clicking on the "targeting" button located at the top right of your list.
