An administrator or account owner can invite a new user in three steps (group, profile, licenses). An invited user can then join the shared account without creating a new personal account, and each resource has its own sharing permissions, by group or by selected users.
To invite or manage users, you must be an administrator or account owner. To join a shared account, you must have received an email invitation.
Only administrators and the account owner can add and manage users from User Management. The invitation is done in three steps:
Group: assign the user to an existing group.
Profile: enter their first name, last name, email address, and choose their role (administrator or standard user).
Licenses: assign the necessary product licenses to access the Sarbacane Suite applications.
The invited user receives a validation email. They must click to accept the invitation, then create their password on their first login.
A pending invitation can be resent or deleted by the account owner. After adding, an administrator can at any time modify a user's role, adjust their licenses, or delete them.
To validate a sharing invitation and access another Sarbacane account without creating a new personal account:
Click I accept the invitation in the email you received.
Set your password on the displayed form.
Once the invitation is validated, two scenarios apply for your login: if you have access to only one shared account, login occurs automatically to that account; if you have access to multiple accounts, a dropdown list appears at login to select the desired account.
Once logged into your own account, you can also switch to a shared account via the menu in the top right: click on the displayed account name to display the list of your personal account and shared accounts for which the invitation has been validated.
Important : the owner and administrators of the shared account retain the ability to modify your permissions or revoke your access at any time.
Beyond account sharing, each resource (email campaign, SMS or automation, contact list, form, landing page) has its own sharing permissions, accessible via Manage sharing in its context menu.
Standard user: access to all resources in their group. By default, their creations are shared with their entire group; sharing with another group requires explicit authorization.
Administrator or owner: full access to all resources, with the ability to restrict access by unchecking specific users or groups.
Two sharing modes are available:
Group sharing: all current and future group members automatically have access. More flexible for tracking team evolution.
Sharing with selected users: only checked users have access, with no effect for new group members. More precise for limiting access to a few people.
Best practice: a newly created resource is shared by default with all groups in the account. Remember to adjust this setting upon creation if you wish to restrict access.
You have added a new user to your account, or joined a shared account, and defined who has access to your resources according to your collaboration needs.
The invited user does not receive the validation email: resend the invitation from User Management; this action is reserved for the account owner.
I do not see a list of accounts at login: you have access to only one account, so login is performed automatically on it.
I can no longer access a shared account: the owner or an administrator of this account may have modified your permissions or revoked your access.
New members of a group do not have access to a resource: verify whether sharing was done by selected users rather than by group. Only group sharing automatically includes new members.
